Steps to fix QuickBooks Error H202 and H505:

  1. Check your network connectivity
  2. Verify hosting settings
  3. Turn off multi-user hosting
  4. Add server to Windows hosts file
  5. Check firewall settings
  6. Restart QuickBooks Database Server Manager
  7. Create a new folder for the company file

Let's follow the steps in detail

On the server computer, create a new folder for the company file and move the file to the new location. On each workstation, open QuickBooks and go to "File" > "Open or Restore Company". Select "Open a company file" and browse to the new location of the company file.

  1. Check your network connectivity :

Make sure all computers are connected to the same network and that the network is functioning properly. You can try pinging the server from the workstation to verify that the connection is working.

2. Verify hosting settings :

On the server computer, open QuickBooks and go to "File" > "Utilities". If "Stop Hosting Multi-User Access" is an option, select it. If "Host Multi-User Access" is an option, do not select it.

  3. Turn off multi-user hosting :

On each workstation, open QuickBooks and go to "File" > "Utilities" > "Stop Hosting Multi-User Access".

4. Add server to Windows hosts file

On each workstation, open Windows Explorer and navigate to "C:\Windows\System32\Drivers\etc". Open the "hosts" file in Notepad and add the IP address of the server computer and the name of the server computer. Save the file.

5. Check firewall settings :

Make sure your firewall is not blocking QuickBooks from accessing the network. You may need to add exceptions to your firewall settings to allow QuickBooks through.

On the server computer, go to "Start" > "Run" and type "services.msc". Scroll down to "QuickBooksDBXX" (XX represents the year of QuickBooks Desktop being used) and right-click on it. Select "Restart".

Ensure that each computer meets the system requirements for QuickBooks multi-user mode. Make sure each computer has a reliable internet connection and all necessary updates have been installed. Download QuickBooks: Download the QuickBooks installer from the Intuit website or insert the installation CD. Run the QuickBooks installer: Double-click the QuickBooks installer file to launch the installation wizard. Agree to the license agreement: Read and agree to the license agreement to proceed with the installation. Select the installation type: Choose the installation type that meets your business needs. QuickBooks offers two types of installations: "Express" and "Custom and Network Options". This option also allows you to set up network access for QuickBooks, which is required for multi-user access. This installation option is best if you need to customize the installation to meet your specific business needs. Enter the license and product numbers: Enter the license and product numbers when prompted. These numbers are found in your purchase confirmation email or on the installation CD. Choose the installation location: Choose the location on your computer where you want to install QuickBooks. Choose the features to install: Select the QuickBooks features you want to install. Begin the installation: Click "Install" to start the installation process. Complete the installation: Follow the prompts to complete the installation process. Activate QuickBooks: Open QuickBooks and activate the software by entering your license and product numbers.

Download and install QuickBooks Desktop: If you haven't already, download and install QuickBooks Desktop on the computer that will be your server. Make sure to select the option to install the QuickBooks Database Server Manager during the installation process. Install the QuickBooks Database Server Manager: Once you've installed QuickBooks Desktop, launch the installer again and select the option to install the QuickBooks Database Server Manager. Follow the onscreen prompts to finish the installation process. Set up the database server: After installing the Database Server Manager, you'll need to set it up to work with your QuickBooks company files. To do this, open the QuickBooks Database Server Manager and select the option to "Add Folder." Browse to the location where your QuickBooks company files are stored, and select the folder containing those files. You can select multiple folders if needed. Scan the folders for company files: Once you've added the folders containing your company files, click the "Scan" button to scan those folders for QuickBooks company files. The Database Server Manager will create a network data file (.ND file) for each company file it finds, which will allow multiple users to access that file simultaneously. Test the setup: After completing the setup process, it's a good idea to test the configuration to make sure that multiple users can access the company files without any issues. To do this, open QuickBooks on a client computer and attempt to open the company file stored on the server. If you can access the file without any issues, the setup is complete. Create user accounts for each person who will be accessing QuickBooks. Make sure each user has a unique username and password. Here are the steps to set up user accounts in QuickBooks Desktop: Open QuickBooks Desktop and log in as the administrator. From the main menu, select "Company" and then "Set Up Users and Passwords" and choose "Set Up Users." Click "Add User" to create a new user account. Enter the user's name and password. You can also select a role for the user, such as "Full Access," "Sales and Accounts Receivable," or "Purchasing and Accounts Payable." Select the level of access you want to grant the user. You can choose from "All areas of QuickBooks," "Selected areas of QuickBooks," or "External accountant access." If you chose "Selected areas of QuickBooks," select the specific areas the user can access by checking the appropriate boxes. Click "Finish" to save the new user account. If you are required to edit or delete a user account, select "Company" and then "Set Up Users and Passwords" and choose "Set Up Users" again. Then, select the user you want to edit or delete and follow the prompts. Once you have set up all the user accounts, each user will need to log in to QuickBooks Desktop using their own username and password. That's it! Now you have set up user accounts in QuickBooks Desktop, and each user will have their own access to the software with specific levels of permission.

On each computer, map the shared folder as a network drive. This will allow all users to access the QuickBooks company file stored in the shared folder. Here are the steps to map the shared folder in QuickBooks for multi-user access: Open Windows Explorer on the computer that will be accessing the shared folder. Navigate to the location of the shared folder. Right-click on the shared folder and select "Map Network Drive." In the Map Network Drive window, select a drive letter to assign to the shared folder. Check the box for "Reconnect at sign-in" if you want the mapped drive to be available every time you start your computer. Click "Finish" to map the shared folder. Next, open QuickBooks Desktop on the computer that will be accessing the company file. From the main menu, select "File" and then Hit the Open or Restore Company option. Now select "Open a company file" and click "Next." Browse to the location of the company file on the mapped drive and select it. Click "Open" to open the company file from the mapped drive. That's it! You have now successfully mapped the shared folder in QuickBooks for multi-user access and can access the company file from the mapped drive. Repeat these steps on each computer that needs access to the company file.

Open the QuickBooks Company File: On each computer, open QuickBooks and open the company file stored in the shared folder. You should now be able to access and edit the company file in multi-user mode.

 

Note: Without a server computer, QuickBooks will rely on the network for data transmission, which may slow down performance. To optimize performance, make sure to use a high-speed network and a reliable internet connection.
